Control access to private entries.

Free 1.3.2 includes team roles, separate permissions and per-form submission access. Pro follow-up tools respect the same boundary.

How it works

Separate building from reading responses

A person who edits forms should not automatically receive every private answer. Administrators have the settings permissions; editors can build and publish without automatically gaining submission access.

  • Reading and managing entries are separate capabilities
  • Exporting, deleting, sending and settings have their own permissions
  • Form manager and Submission reviewer roles are included in Free

Restrict the right form to the right team

Per-form team access limits entry access to selected members who already have submission permissions. Settings administrators retain access and can create, change or remove restrictions without Pro.

  • Choosing a member does not replace the required capabilities
  • A restricted form is not opened to everyone by assigning an entry
  • Review the boundary with a permitted account and an excluded account

Keep access independent of the add-on

Free owns these roles and restrictions in the current source. They remain manageable when Pro is deactivated or removed, while any active Pro workflow continues to use the same checks.

  • Pro assignments coordinate work rather than grant access
  • Private attachments follow the entry permission boundary
  • Exports remain scoped to the requesting person's access

Keep a sensitive report with its reviewers

A website can have people who manage content and a smaller team who review private reports.

  1. Choose the role

Give form authors the relevant form permissions without automatically granting access to responses.

  2. Restrict the form

Choose the authorized submission reviewers for that form through the Free access controls.

  3. Test both sides

Verify an intended reviewer can read the entry and an excluded account cannot. Recheck after changing roles or membership.

Plan your setup

  • This guide describes Free 1.3.2 and newer. Check the published download version before relying on its access-management interface.
  • Settings administrators retain access to restricted forms. This is site-level administration, not a separate tenant or encrypted vault.
  • Changing a role or assigning an entry is not a substitute for checking permissions with representative user accounts.

Common questions

Do I need Pro for team access restrictions?

No. Team roles, role permission controls and per-form submission access management belong to Free 1.3.2+.

Will removing Pro erase the restrictions?

The current source keeps Free-owned roles and restrictions in place. Pro-only follow-up features pause, but Free continues managing access.
